Data Controller

The Secretary General is the data controller for the personal information we process.

Data Processors

For the purposes of the GDPR, the committee members of the IPA Gibraltar Section are the principal Data Processors in relation to the personal data you supply.
Data Processors also include our IT provider Genesis Creations LTD and the provider of our Digital Membership Cards (TBC).
IPA Gibraltar Section may use other companies and/or third parties to process information and provide services on our behalf. Whether it is processed in Gibraltar or overseas, your information will be protected, in accordance with data protection legislation, by a strict code of secrecy and security which all members of IPA Gibraltar Section and any third parties are subject to and will only be used in accordance with our instructions.

How do we get information?

Most of the information we process is provided to us directly by our members when they enrol or notify us of any changes to their contact details, status or membership.
We also receive information, including photographs from members submitting material for publication in our internal publications, on our website at www.ipa-gibraltar.gi and on our social media channels.
‘By submitting text or photographs for publication, IPA Gibraltar Section reserves the right, and assumes your consent, to use such material in IPA publications digital and printed, and on social media platforms, unless specifically advised otherwise.

What do we do with the information you provide?

IPA Gibraltar UK gathers data from our members, which we use for management of member recruitment and good communications by the section with our members. IPA Gibraltar Section does not gather or hold any special categories of personal data in relation to its members.
We do NOT rent or trade email lists with other organisations and businesses.

Storage of data

All data regarding members is retained in the IPA Gibraltar Section membership database which is stored within Royal Gibraltar Police IT systems within HM Government of Gibraltar (HMGoG) servers. HMGoG Information Technology & Logistics Department (ITLD) are responsible for ensuring the security of all HMGoG (inc RGP) IT infrastructure in the prevention of data breaches.

Safeguards in Place in relation to International Transfers of Personal Data

Should member data need to be transferred outside Gibraltar, we will only transfer data to a third country which is covered by an adequacy decision or where we have put in place appropriate safeguards in accordance with applicable data protection law.

The period for which Personal Data is stored or the criteria used to determine that period

We retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.
To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, accounting or other requirements.

The Existence of any Automated Decision-Making

We do not process personal data for the purposes of automated decision-making (including profiling).

Wi-Fi

Wi-Fi use at IPA Gibraltar Section premises (social club) is not monitored to identify users or volume of usage.
Under data protection law, you have certain rights we need to make you aware of.

Your right of access

You have the right to ask us for copies of your personal information. This right always applies. There are some exemptions, which means you may not always receive all the information we process.

Your right to rectification

You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure

You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing

You have the right to ask us to restrict the processing of your information in certain circumstances.

Your right to object to processing

You have the right to object to processing if we are able to process your information because the process forms part of our public tasks, or is in our legitimate interests.

Your right to data portability

This only applies to information you have given us. You have the right to ask that we transfer the information you gave us from one organisation to another, or give it to you.

Where we provide links to websites of other organisations this privacy notice does not cover how other organisations process personal information.
